Sustainable ICT procurement: smarter, greener and cheaper

Every day we receive batches of used ICT equipment from all kinds of organizations. For example, sometimes an iPhone comes in with only 13 charges, barely used. Occasionally we even receive brand new equipment. It often turns out that companies have purchased too much and simply dispose of this equipment after economic depreciation. This is not only a waste of money, but also anything but sustainable. Sustainable ICT should be standard in governments and large companies, yet many organizations are still lagging behind. What is holding them back?

What is sustainable ICT procurement?

Sustainable procurement is more than just looking at the price of ICT equipment. It's about reuse and repair so that your devices last longer, produce less waste and spread the cost over a longer period of time. That way you get much more value out of your investment.

Advantages

Sustainable purchasing has direct benefits, such as cost savings. By extending the life of your equipment with refurbishing or remanufacturing, you save up to 30% on purchase costs, without sacrificing functionality or warranty. In addition, governments and lenders are increasingly recognizing the value of sustainable practices, which increases your chances in tenders.

Obstacles

  • Complex procurement processes: ICT procurement often touches multiple departments, such as IT, finance and facilities services - all with their own priorities and processes. This fragmentation often results in a lack of collaboration, causing sustainable initiatives to take a back seat.
  • No plan for old appliances: New appliances are frequently purchased without a strategy for old appliances. As a result, appliances that are still usable are lost, and disposal and replacement costs rise unnecessarily.
  • Segregated budgets: Budgets for procurement, maintenance and disposal are usually managed separately, losing the benefits of a Total Cost of Ownership approach. Long-term savings are not always visible as a result.
  • Lack of knowledge about sustainable options: IT teams often focus on technical requirements, so solutions such as refurbished equipment receive less attention. Lack of knowledge about the quality and reliability of durable options often leads to choosing new (more expensive) hardware.
  • Focus on specifications and security: There is much focus on technical specifications and security, which can lead to doubts about the performance of durable solutions. Buyers fear compromises on speed and reliability, often opting for heavier, new hardware than necessary.
